Athlytics — Privacy Policy

Athlytics is operated by Louis Rose LLC ("we," "us," "our"), Cumming, Georgia, United States. Athlytics is a companion application to GRID (gridscouting.com).
This policy explains what information Athlytics collects, how we use it, and the choices available to you. If you have questions, contact us at trose@louisrose.org.
1. Who uses Athlytics
Athlytics is a tool for coaches and team staff. Coaches use it to record game statistics for their team during and after games.
Athletes on a team roster generally do not have their own Athlytics account. Their information is entered by their coach, or imported from an existing GRID roster. Many of these athletes are minors, and we treat their information accordingly. Section 6 explains this in detail.
2. Information we collect
Account information. When you create an Athlytics account we collect a username, a password (stored in encrypted form — we cannot see it), and an email address used for account recovery and important service messages. Access to a team also requires a team code provided by the team's administrator.
Team and roster information. Coaches create rosters containing athlete names, jersey numbers, and positions. This information is either entered by the coach or imported from the team's existing GRID roster.
Game and performance data. The core function of Athlytics. During and after games, coaches record statistics tied to individual athletes — for example plays, attempts, yards, touchdowns, tackles, and similar performance data — along with game details such as opponent, date, and whether the game was a scrimmage.
Subscription and access information. Records of your team's subscription status and entitlements, so we know what features your team can access. Payments are processed by our payment providers; we never see or store your full payment card details.
Technical information. Basic technical and diagnostic information necessary to operate the app, such as crash and performance data, and standard device information.
We do not collect: precise location, contacts, photos or camera content, audio recordings, health or medical records, browsing history, or biometric data.
3. How we use information
We use the information described above to:
- provide the app's core function — recording, storing, and displaying team and athlete statistics;
- generate season totals, summaries, and game reports for coaches;
- share an athlete's statistics with their GRID profile (see Section 4);
- authenticate users, provide account recovery, and secure accounts;
- determine feature access based on your team's subscription; and
- maintain, troubleshoot, and improve the app.
We do not sell personal information. We do not use athlete information for advertising, and we do not share it with data brokers or advertising networks.
4. How information is shared
With GRID. Athlytics is designed to work with GRID. Statistics recorded in Athlytics may be sent to the corresponding athlete's GRID profile. Once statistics reach GRID, they are governed by the GRID Privacy Policy, and the athlete controls what appears publicly on their own GRID profile through GRID's privacy settings.
Within your team. Coaches and staff with access to a team can see that team's rosters and statistics.
Service providers. We use third-party infrastructure providers to host data, deliver the app, and process payments. These providers process information only to perform services for us.
Legal reasons. We may disclose information where required by law, or where necessary to protect the safety, rights, or property of any person — including protecting a minor from harm.
We do not otherwise sell, rent, or trade personal information.
5. Where information is stored
Athlytics stores information using secure cloud infrastructure operated by our service providers, located in the United States. We use industry-standard safeguards, including encryption of data in transit. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.
6. Minors' information
Most athletes recorded in Athlytics are under 18. We take this seriously.
- Athlytics accounts are for coaches and team staff, who must be at least 18 years old. Athlytics is not intended for use by children, and we do not knowingly allow anyone under 18 to create an Athlytics account.
- Information about athletes — including minors — is entered by their coach, or imported from the team's existing GRID roster. Athletes do not create Athlytics accounts.
- Coaches and schools are responsible for having the appropriate authority and any necessary parental permission to record and share information about the athletes on their roster, consistent with their school's or organization's policies.
- Athlete information in Athlytics is limited to what is needed to record athletic performance: name, jersey number, position, and game statistics. We do not collect academic records, contact information, photographs, or other sensitive information about athletes in Athlytics.
- Where statistics are shared with GRID, the athlete retains control over what is displayed publicly on their GRID profile.
A parent, guardian, athlete, coach, or school may ask us to review or delete an athlete's information at any time by contacting trose@louisrose.org. We will respond promptly and, where we can verify the request, remove the information.
7. Your choices and rights
- Access and correction. Coaches can view and edit their team's rosters and statistics in the app.
- Deletion. You may request deletion of your account and your team's data by contacting trose@louisrose.org. Deleting statistics in Athlytics does not automatically remove statistics already shared with GRID; those can be managed or removed through GRID.
- Communications. We send only account and service messages.
Depending on where you live, you may have additional rights over your personal information. Contact us and we will honor applicable requests.
8. Data retention
We keep information for as long as your team maintains an active account, and as long as needed to provide the service. When an account is deleted, we delete or de-identify the associated information within a reasonable period, except where we must retain records to comply with legal obligations or resolve disputes.
9. Changes to this policy
We may update this policy from time to time. When we do, we will revise the "Last updated" date above. Material changes will be communicated through the app or by email.
